PARTY PLANNER
To make you party less stressful, you may want to use some party planning tips.
Planning Party Checklist:
- Plan at least 3 – 4 weeks ahead. This will mean you are not rushed and have plenty of time to hire entertainment, venues and so on.
4 Weeks Before The Party
- Select a date, time and location for the party.
- Choose a theme for the party with the birthday person.
- Decide on the number of guests and develop a guest list.
- Place your order with Party In A Box for party supplies, decorations, and favours.
- If required, call to book an entertainer, such as a magician, clown or bouncy castle for the party entertainment.
2-3 Weeks Before The Party
- Mail or hand-deliver your invitations. Ask your guests to RSVP and keep a guest list by the phone to record RSVP responses.
- Plan 3-6 games and activities and if needed, purchase supplies for those activities.
- If serving a meal decide on your menu.
- Order your cake (Unless you plan to bake one).
- You may need help from friends or family on the day; don’t be afraid to ask.
1 Week Before The Party
- Contact all guests that have not sent a RSVP
- Decide on the agenda for the party, the order of your chosen activities and games, what time to serve the food and/or cake, and when the birthday child will open presents.
- Try any games or activities with which you are unfamiliar.
- Make sure you have plenty of film, a video camera, and batteries to capture those party shots.
- Now is the time to prepare any party fare that will freeze ahead of time.
- Do a final check of all party supplies.
1-2 Days Before The Party
- Defrost any food you have saved in your freezer.
- Decorate the party venue.
- Check that you have not forgotten last minute items
- Put the favour bags together.
- If required, have balloons filled with helium on "party day".
- Prepare any crafts that can be set up ahead of time.
- Clean Party Area.
- Put away items that may be dangerous, distracting or may get broken.
- Bake or pick up the cake.
- If ordering food such as pizza, call to arrange a delivery time.
- If necessary, confirm with the entertainer and/or any helpers who you’ve asked to attend.
- Sit down with your child and discuss your expectations on the party day.
Party Day
- Set the table and decorate.
- All food and drinks to be completed.
- Have cake, candles and lighter ready to go.
- Final decorations inside and outside:
- Tie some balloons to the mailbox to help mark the party location.
- Place crafts and prizes near the activity locations.
- Set up first activity and/or game.
- Consider putting your pets in an area away from guests.
- Use your camera or video camera to ensure you remember the occasion, take photographs or videos.
